What is Snap-a-Slip?
Snap-a-Slip is a WhatsApp bot that turns receipts into clean bookkeeping data. You photograph a slip, the AI extracts the merchant, amount, 15% VAT, date and category, and it lands on a dashboard ready for tax or for your bookkeeper.
Do I need to download an app?
No. Snap-a-Slip lives entirely on WhatsApp. Save the number, send a slip, done. The dashboard is a website you only open when you want to review or export.
How do I get started?
Save +27 67 220 0126 as a contact and send it a message. The bot walks you through a one-minute setup, then you snap your first slip and the data lands on your dashboard.
Is it only for South African businesses?
Yes, for now. VAT and SARS rules are South Africa specific, and the product is built around them. Other markets are not on the roadmap yet.
Can my bookkeeper or accountant access the dashboard?
Yes. From workspace settings you can add your bookkeeper or accountant. They get their own login and see your extracted slips in real time.
What gets snapped
What types of receipts work?
Till slips, card payment slips, restaurant tabs, fuel slips, and PDFs. Anything paper or digital. The clearer the photo, the better: full slip in frame, no thumbs over the totals.
Do I snap all my slips or just business ones?
Up to you. Snap only business slips, or snap everything and sort it on the dashboard with categories and groups. The bot processes it all; you organise it whichever way suits your bookkeeping.
Does it capture line items, not just the total?
Yes. A grocery run with twelve lines comes back line by line, and so do restaurant tabs and hotel bills with sub-charges. Each line is captured and included in your exports.
What if a slip has more than one category on it?
Right now each slip gets one category by vendor. If you grab a coffee on a Pick n Pay grocery run, the whole slip lands as Groceries. Per-line splitting, where one slip can carry multiple categories with VAT split per line, is on the roadmap.
What if the AI gets something wrong?
Click into the field on the dashboard and edit it. A confidence score is shown next to every extracted field, so you know which ones to double-check first, and the bot learns from your corrections.
Tax, VAT and SARS
General information for South African taxpayers, not tax advice. Rates and thresholds are current as at June 2026; always confirm with SARS or your accountant.
Will SARS accept a photo of my slip?
Yes. SARS accepts photographed receipts as long as they are clear, complete and unaltered, and legible at audit. A clean photo is often more readable than the original thermal slip, which fades over time.
What is the VAT rate in South Africa?
The standard VAT rate in South Africa is 15%. Snap-a-Slip pulls the VAT amount out separately on every slip so it is ready for your return.
Does Snap-a-Slip calculate VAT?
Yes, automatically. The 15% VAT breakdown is separated from the total on every extracted slip, which makes month-end and year-end VAT submission straightforward.
How long do I need to keep receipts for SARS?
SARS requires you to keep records, including receipts and tax invoices, for five years from the date of submission of the return. Snap-a-Slip stores your slips for as long as your account is active, so they are there if you are audited.
What makes a valid VAT tax invoice in South Africa?
For amounts over R5,000 SARS requires a full tax invoice showing the words "tax invoice", the supplier's name, address and VAT number, the customer's name and address, a serial number and date, a description of the goods or services, and the VAT amount or a statement that VAT at 15% is included. For R50 to R5,000 an abridged tax invoice is acceptable. Snap-a-Slip keeps the original photo attached so the source document is always on hand.
Do I need a tax invoice for purchases under R5,000?
For supplies between R50 and R5,000 an abridged tax invoice is enough. Under R50 a tax invoice is not required, though you still need proof of the expense. Keeping the photo means you have the evidence either way.
How do I claim VAT back on business expenses?
If you are a VAT-registered vendor you can claim the input VAT on qualifying business purchases against the output VAT you charge, and pay SARS the difference. You need valid tax invoices to support the claim. Snap-a-Slip separates the VAT on every slip and keeps the invoice photo, which is the paperwork you need.
What is the difference between input VAT and output VAT?
Output VAT is the 15% you charge customers on your sales. Input VAT is the 15% you pay suppliers on your purchases. A VAT-registered business pays SARS the difference between the two. Tracking input VAT on your receipts is how you avoid overpaying.
What expenses can a freelancer or sole proprietor deduct?
Generally, expenses incurred in the production of income and actually used for your business, for example data and airtime, software subscriptions, equipment, business travel, and a portion of home-office costs if you qualify. The rules have conditions, so check with your accountant. The point of Snap-a-Slip is that when deduction time comes, every receipt is already captured and categorised.
How do I keep a SARS-compliant travel logbook?
To claim a travel deduction SARS expects a logbook with your opening and closing odometer readings for the year and a record of business trips (date, kilometres and reason). Keep it alongside the fuel and maintenance slips, which Snap-a-Slip captures and files for you.
When are provisional tax payments due for freelancers?
Provisional taxpayers make a first payment by the end of August and a second by the end of February, with an optional third payment by the end of September. Having your expenses captured through the year makes estimating taxable income far less painful.
How should I organise my receipts for tax season?
Capture each slip as it happens rather than in a year-end shoebox scramble, keep the VAT separated, and store the originals. Snap-a-Slip does all three automatically, so at tax season you export a CSV or PDF and hand it over.
Tools and integrations
Does it work with Xero?
Yes, with a live integration. Slips push to Xero as draft bills with the source photo attached, so your bookkeeper opens Xero and the receipts are already there, ready for review.
Does it work with Sage or QuickBooks?
You can export CSVs formatted to import cleanly into Sage and QuickBooks. A live integration like the Xero one is on the roadmap. For now the formatted CSV gives any Sage or QuickBooks user a clean handoff.
Does it work alongside Dext or Hubdoc?
Yes. Snap-a-Slip is the WhatsApp capture layer. If you already use Dext or Hubdoc, export a CSV and bring your receipts in. Same job, different front door: receipts arrive over WhatsApp instead of an app.
What if I am not on any accounting software?
CSV and PDF exports work for anyone. Open them in Excel or Google Sheets, or send the PDF straight to your accountant. Snap-a-Slip works just as well on its own.
Can I download my original receipts?
Yes. The Receipt Images ZIP downloads all your original receipt photos for any period, named by date and merchant. CSV and PDF reports are available too, plus a live Xero push if you connect it.
Pricing and cancellation
How much does it cost?
There are four tiers. Free covers up to 15 receipts a month. Pro is R99/month for one user with unlimited receipts. Business is R399/month for up to 10 users. Enterprise is custom-priced for larger teams and multiple businesses, so get in touch for a quote. Prices are in Rand, VAT inclusive.
Is the free tier 15 receipts once, or per month?
Per month. It resets at the start of each month, so you can stay on Free indefinitely as long as you fit inside 15 receipts.
What if I run more than one business?
Each business gets its own workspace with separate receipts, categories and exports. Business covers small teams, and Enterprise covers multiple businesses and larger teams; if you have an unusual shape, message us and we will sort out the right fit.
Can I cancel anytime?
Yes, no lock-in. Type "cancel" on WhatsApp and you are out. Your data stays accessible through your final billing period, and you can export everything before it closes.
Do you offer refunds?
Yes, within 14 days of your first paid month. After that you can cancel anytime to stop further billing.
How do I switch tiers?
Upgrade anytime from WhatsApp by typing "upgrade pro" or "upgrade business". Downgrades take effect at your next billing cycle. For Enterprise, get in touch and we will set you up.
Data, security and POPIA
Is my data secure?
Yes. Your data is encrypted in transit and at rest, and held on encrypted cloud infrastructure. We use a small set of contracted service providers for OCR, AI extraction, image storage, the WhatsApp messaging surface and payments, each a sub-processor under POPIA. You can request the current list from our Information Officer.
Are you POPIA-compliant?
Yes. Snap-a-Slip is a South African product built for the local regulatory environment. We honour the right of access and the right to erasure, so you can export or delete your data at any time.
Who can see my receipts?
Only you and the people you invite to your workspace, such as a teammate, bookkeeper or accountant. Your receipts are never sold or shared with anyone else.
How long do you hold my receipts for?
For as long as your account is active. If you cancel, your data stays available for 30 days so you can export everything (CSV, PDF and receipt images), and then it is deleted. You can also delete your data at any time, and you can shorten the retention period in your account settings.
Can I delete all my data?
Yes. Ask to delete your account and we permanently remove your receipts, images and personal details. The right to erasure is part of POPIA, and we honour it.
